  1. Scope

This Privacy Notice describes how personal data is processed through the website www.biologik.it and in connection with communications, contact requests and job applications submitted to BIOLOGIK-SYSTEMS S.R.L.

The website provides information about the company’s products and services. It does not allow online purchases or payments, does not require users to create personal accounts and does not provide a newsletter service.

  1. Categories of personal data processed

BIOLOGIK-SYSTEMS S.R.L. may process the following categories of personal data:

a) Browsing data

The IT systems and services used to operate the website may collect technical data such as IP address, device and browser type, date and time of access, pages visited, data concerning the operation and security of the website and online identifiers.

b) Data provided by email or telephone

When users voluntarily contact BIOLOGIK-SYSTEMS S.R.L. by email or telephone, the company may process their first name, surname, contact details, company and any information included in their communication.

c) Job application data

When an individual submits a job application, the company may process data included in the email, curriculum vitae and any attached documents, including identification and contact details, education, skills, professional experience and other employment-related information.

Candidates are requested not to include information that is not relevant to the position. Any special categories of personal data, such as information relating to health or protected employment categories, will only be processed when relevant and within the limits permitted by applicable law.

d) Cookies and tracking technologies

The website uses technical cookies that are necessary for its operation and, subject to the user’s consent where required, third-party analytics and marketing technologies.

  1. Purposes, legal bases and retention periods

a) Website operation and security

Technical data is processed to ensure the proper operation and security of the website, prevent misuse and resolve technical issues.

The legal basis is the Data Controller’s legitimate interest in ensuring the security and proper operation of its systems, pursuant to Article 6(1)(f) of the GDPR.

The data is retained only for the period strictly necessary for these purposes and according to the technical retention periods applied by the relevant IT service providers.

b) Enquiries and communications

Data submitted by email or telephone is processed to respond to enquiries, provide information about products and services and prepare quotations where requested.

The legal basis is the performance of pre-contractual measures taken at the request of the data subject, pursuant to Article 6(1)(b) of the GDPR. Where necessary, processing may also be based on compliance with legal obligations or on the Data Controller’s legitimate interest in managing and protecting its business relationships.

General enquiries are retained for no longer than 12 months, unless a longer period is required to comply with legal obligations, manage a contractual relationship or establish, exercise or defend legal claims.

c) Recruitment and personnel selection

Personal data included in job applications and curricula vitae is processed to assess candidates, arrange interviews and carry out activities connected with the possible establishment of an employment or professional relationship.

The legal basis is the performance of pre-contractual measures taken at the request of the data subject, pursuant to Article 6(1)(b) of the GDPR.

Any relevant special categories of personal data will be processed only within the limits permitted by employment and social protection legislation.

Curricula vitae relating to unsuccessful applications are retained for no longer than 12 months from receipt or from the end of the selection process, unless the candidate requests earlier deletion.

Curricula vitae are accessible only to company management and expressly authorised internal personnel.

d) Professional references

BIOLOGIK-SYSTEMS S.R.L. may contact previous employers or professional referees only after informing the candidate and obtaining their specific consent.

Consent may be withdrawn at any time without affecting the lawfulness of processing carried out before its withdrawal.

e) Website analytics and improvement

Subject to the user’s consent, the website may use Google Analytics 4 and Google Tag Manager to collect statistical information about the use of its pages and to improve its content, navigation and performance.

The legal basis is the user’s consent pursuant to Article 6(1)(a) of the GDPR.

f) Advertising measurement

Subject to the user’s consent, the website may use the Meta Pixel and Meta Conversions API to measure the effectiveness of advertising campaigns and understand how users interact with the website.

The legal basis is the user’s consent. Users may refuse or withdraw their consent through the cookie settings.

  1. Cookies and external services

The website uses:

  • technical and functional cookies necessary for the operation of the website and Ecwid/Lightspeed services;
  • Google Tag Manager and Google Analytics 4, subject to consent where required;
  • the Meta Pixel and Meta Conversions API, subject to consent;
  • links to external services such as Google Maps, YouTube, Instagram and LinkedIn.

Opening an external link takes the user to a service managed by a third party, which will process personal data in accordance with its own privacy notice.

Non-essential cookies and tracking technologies must only be activated after the user has made their choice. Users may change their preferences at any time through the “Cookie Settings” command available in the website footer.

  1. Nature of data provision

Providing personal data by email or telephone is voluntary. However, failure to provide the information required to handle an enquiry may prevent BIOLOGIK-SYSTEMS S.R.L. from responding.

Submitting a curriculum vitae is voluntary, although essential professional information is necessary for the company to assess an application.

Consent to analytics or advertising cookies is voluntary. Refusing consent does not prevent normal use of the website.

  1. Recipients of personal data

Personal data may be processed by:

  • company management and expressly authorised personnel;
  • providers of IT, hosting, email, maintenance and security services;
  • Ecwid/Lightspeed in connection with the technical management of the website;
  • Google and Meta, limited to the services activated and the preferences expressed by the user;
  • professional advisers, where necessary;
  • public authorities or other parties to whom disclosure is required by law.

Personal data is not sold, rented or publicly disclosed.

  1. Transfers outside the European Economic Area

Some technology providers may process personal data outside the European Economic Area.

Where international transfers occur, they must be based on a European Commission adequacy decision or on appropriate safeguards under the GDPR, such as Standard Contractual Clauses.

BIOLOGIK-SYSTEMS S.R.L. does not use solely automated decision-making processes or artificial intelligence systems to assess or select candidates.

  • access their personal data;
  • request rectification or updating;
  • request deletion;
  • request restriction of processing;
  • object to processing based on legitimate interests;
  • receive their personal data in a structured, commonly used and machine-readable format where the conditions for data portability are met;
  • withdraw consent at any time;
  • lodge a complaint with the competent data protection authority.
